The Opportunity 

The Accountant I provides financial and administrative support to the Accounting Department. The Accountant I verifies invoices for over 35 private foundation clients, provides proper coding and obtains appropriate approvals for payment. General duties include processing invoices in the accounting software so that they are ready for payment by the Accountant II, reconciling processed work and ensures that aging reports tie to general ledger balances. Regular weekly attendance in the PFS offices is an essential function of this job. 

Reports to: Director of Accounting Services   Hours: FT, Non-exempt 

MF, 8:30 – 5:00 (37.5 hr. week) 

Principal Responsibilities: 

  • Receive, verify and code invoices for all foundation clients and PFS invoices. 
  • Ensure W-9s are obtained when needed. 
  • Obtain appropriate approvals for all invoices. 
  • Enter invoices into accounting software. 
  • Upload scheduled grants reports into Intacct. 
  • Respond to vendor inquiries re: invoices. 
  • Prepare weekly bank deposits. 
  • Prepare bank reconciliations. 
  • Prepare monthly reconciliation of Grants Paid and Grants Payable to Grants Management system. 
  • Prepare monthly reconciliation of Accounts Payable aging reports to General Ledger balances. 
  • Assist Dir of Accounting Services and Accountant II in maintaining integrity of MineralTree (third party payment processing software) and ensuring it is syncing correctly with accounting software. 
  • Responsible for full accounting cycle for a selected assigned client foundation, including full investment accounting and financial statements. 
  • Assist Sr. Accountants to complete annual audit/review tasks and requests. 
  • Ensure department’s hard copy files and server files are current and orderly. 
  • File DE-542 reports as needed. 
  • Assist Accountant II and Dir of Accounting Services on special projects as assigned. 

Skills and Attributes Needed: 

  • At least three years’ experience in processing Accounts Payable, preferably in a nonprofit environment. 
  • Experience with reconciling bank statements 
  • Highly organized and detail-oriented with a commitment to accuracy.  Ability to use Asana a plus. 
  • Strong interpersonal and communication skills. 
  • Demonstrated experience and high proficiency with accounting software and third party AP payment processors; Sage Intacct, and MineralTree experience preferred. 
  • Proven skills with Microsoft Office, particularly Excel, in a Windows or Office365 environment. 
  • Ability to juggle multiple, unrelated projects, including ability to prioritize. 
  • Ability to work successfully in a collaborative team environment. 
  • Personal qualities of integrity, credibility and discretion about confidential matters.

LOCATION: 

PFS has offices in San Francisco and San Mateo. This position will be based out of the San Francisco office. This role will require regular in‐person work in our San Francisco office a minimum of four days per week. Please note that the San Francisco office is dog friendly. 

SALARY & BENEFITS: 

Range: $33.25/hour – $36.00/hour DOE (FTE $64,800 ‐ $70,200) 

PFS is committed to paying competitive wages. In an effort to increase equity, and because we know that salary negotiations tend to have an unfair bias, we do not participate in salary negotiations outside of this stated starting salary range.
