Operational Management

We take care of the financial and administrative details so you can focus on the big picture.

Operational Management for Foundations of All Sizes

Reduce your foundation’s overhead costs while ensuring that every form, record, and policy is documented and submitted properly. We’re experts at helping you achieve your goals while staying ahead of changing regulations and steering clear of compliance issues as your foundation structure and giving priorities evolve. We’ll actively manage day-to-day tasks, including financial management, governance, and compliance, and function as your foundation’s back office to ensure your foundation runs smoothly and efficiently. And, if you need investment, legal, audit, or tax services, we’ll connect you to professionals we know and trust.

Administrative Services

We can serve as your primary staff and provide a physical home for your foundation with a full range of back-office support services, including database and recordkeeping, hosting board meetings, collecting mail, and answering calls. We’ll customize our day-to-day support to address your needs today, and we can easily scale our services for future growth.

Financial Accounting

Our finance and accounting team has deep experience in foundation finances, from the CFO level to daily bookkeeping, and we’ve designed our systems and processes specifically for private foundations. We’ll ensure your foundation complies with all required rules and regulations and handle every aspect of financial management, including:

  • Documenting and updating accounting procedures and policies regularly
  • Providing monthly financial documents and reports
  • Managing organizational cash flow and forecasting
  • Preparing and filing yearly forms such as DE-542 and SI-100/SI-350 and year-end 1099/1096 reports
  • Overseeing tax returns, financial statements, and bank reconciliations
  • Managing estimated tax payment process
  • Ensuring online EFTPS payments for all clients are made on-time

Many clients come to us seeking help with the responsibility of managing day-to-day operations. They recognize that working with PFS means they can allocate more time and attention to grantmaking and outsource those things that can cause administrative headaches like compliance, governance, and managing office systems.

Juliana Grenzeback
President

I’ve always had an interest in communities having a voice and getting the resources they need, and by bringing my accounting skills to community-based work, I found a way to add value that was really needed. I’m inspired now to bring my perspective from the nonprofit sector to support PFS client foundations that are funding critical work in our communities.

Governance

With experience managing many different board structures and a team of experts tracking changing IRS regulations, we’ll help keep your trustees engaged and your foundation operating smoothly. In addition to planning and preparing materials for board retreats and meetings, we’ll also help you craft and execute policies, draft bylaw amendments, navigate conflicts of interest, and manage voting and nomination processes.

Compliance

501(c)(3) tax law, with its complex and shifting rules and regulations, can be challenging to navigate. Engaging an integrated team of compliance experts to monitor your day-to-day financial activities is the best way to avoid costly penalties and violations. Our tax, legal, and accounting experts work together to identify and navigate compliance issues so you can focus on your big-picture goals with confidence.
